This is a booking application for venue hire. Once you have submitted your details, all queries settled, an invoice will be sent and full payment will secure your booking. Completion of this application form, does not confirm your booking. Please note that access to the hall for setup is only from 2pm. If additional setup time is required please include this information under the event description.

Include time that breakdown and clean up ends. Please note that all breakdown and cleaning needs to be done by 10pm. If additional time is required please include this information under the event description. Additional charges of R650 per hour will apply for any event extensions beyond the agreed time.

The hire agreement is for up to 250 persons. For every additional 50 persons a fee of R750 will charged.

Cleaning of Hall Restore the Hall, toilets and kitchen and the surrounding area to the same clean state it was received in. All tables and chairs shall be neatly packed away in the store where they were found. If not satisfactorily cleaned as was handed over, the deposit refund will be withheld as a charge for cleaning the facilities (up to R800). All breakages to be assessed and charged separately. I/We further agree to hold myself/ourselves responsible for the maintenance of good order for the period of hire. I/We the Lessee or our duly authorized representative hereby declares that we received the Hall in good clean order.

Temporary Liquor Licenses Protea Sports Club does not have a liquor license. If the Hirer is going to sell liquor on the premises the onus is on them to obtain the relevant license. Vehicles are parked at owners’ risk. The Club will not be liable for any pilferage or damage to any vehicle parked at the Club. Due to the incidence of crime throughout the Peninsula, it is advised that guests be cautioned not to leave valuables in their vehicles. The Lessee is responsible for providing their own security. In the event of a power outage, it is not beholden on the club to supply any power generation.

Noise Levels As per municipal by-laws, all music must be turned off or lowered to acceptable levels after midnight. Protea Sports Club or its authorized representative will not be held responsible to anyone for non-compliance to these rules.

General Conditions I/We declare that I/We have read the GENERAL CONDITIONS FOR THE HIRE OF PROTEA CLUB HALL and I/We accept to abide by the conditions therein contained. I/We declare that I/We have a copy of this FORM OF APPLICATION and to abide by the conditions therein contained.

Payment Conditions *

Please do not make any payments until your hall hire has been approved and confirmation has been received via email or Whatsapp.

Once your application has been reviewed and there no existing bookings, an invoice detailing the deposit amount and balance of your hall hire charge will be sent. To secure your booking, the fee must be paid in full, not less than one calendar month prior to the required date. Please Note, DEPOSIT NOT INCLUDED.

Deposit

A deposit is payable to preliminary secure your booking. The refundable amount will be, subject to the satisfaction of the Lessor. The Deposit will not be refunded if the facility incurs any damage, or is left in an untidy state, or cancellation of the Hall Hire is less than one month in advanced of the event date. The Lessor shall not be liable for any equipment or articles left behind by the hirer or its guests, after the event. Storage costs of R650 per hour will apply if any property is left in the hall after the event.
Hire fee includes the use of hall, tables, chairs and kitchen.
Deposit refunds that are due should be collected within 1 calendar months after hire, otherwise the deposit will be deemed as a donation to Protea Sports Club.
